Introduction to Executive Assistants

Executive assistants are more than just regular assistants – they’re strategic partners with a strong grasp of how businesses work. What sets them apart is their keen understanding of business and their ability to take on tasks independently. 

Unlike regular assistants who need detailed instructions, executive assistants are proactive and can figure things out on their own. They’re polished professionals who can handle important tasks, like managing schedules and communicating with others easily. 

Most importantly, they serve as the trusted representatives of their executives, guarding the executive calendar and handling all communications for them.

The more you foster and talk up your EA, the more your EA will be able to do. Resist the urge to jump in the middle of their work.

When is it time to get an EA

It depends on the current stage of growth of your business and what your current support systems handle. If you are no longer an effective leader due to having so much on your plate, it might be time to hire one. 

Your assistant should ideally evolve with you, gaining your trust and understanding your preferences over time. Look for someone with project management skills as well as one who can effectively represent you in client communications.

High-performing EAs divide their time efficiently between standard tasks and specialized projects. CEOs should also identify their least favorite or least proficient tasks that the EA can work on. But in general EAs:

  • Manage travel arrangements, calendars, and email correspondence.
  • Oversee administrative tasks like CRM updates and document organization.
  • Act as project manager for various initiatives within the company.
  • Handle industry-specific projects and tasks tailored to the CEO’s needs.
  • Assist with holiday gifting, corporate events, and marketing efforts.
Sometimes give your people more room to run than you think they deserve so you can find out what their strengths and weaknesses are.

The pros and cons of using an agency to hire an EA

Pros:

  • Efficiency

Agencies handle vetting, screening, and applicant processes, providing pre-screened candidates and saving time.

  • Accountability

Reputable agencies offer performance coaching to make sure the EA meets expectations and receives necessary support.

  • Support Accessibility

Agencies can take a major weight off your shoulders because they provide access to a support team for software queries and other assistance to your executive assistant.

Cons:

  • Lack of Direct Control

EAs sourced through agencies technically belong to the agency, so you might not be getting exactly what you want due to not being part of the EA’s hiring process.

  • Cost

Hiring through an agency tends to be more expensive than independent hiring.

Actionable step to take to figure out if you need an Executive Assistant

Think about the return on investment of freeing up 10 to 20 hours weekly. What could you accomplish with that time? This will really make it clear to you if you need one or not.
